Job Description
- Manages MD’s calendar and agenda: setup meetings, update calendar with upcoming events and meetings, arrange daily, weekly, and monthly schedules.
- Manages MD’s schedule to ensure efficiency and focus on strategic tasks.
- Handles various administrative tasks as requested.
- Attend meetings and document meeting minutes, action items, and follow up tasks.
- Maintain and update the MD’s action items tracker and report to MD on progress.
- Follow up closely with MD on daily and weekly to ensure progress is made on the action items list.
- Maintain & update own actions tracker and report to MD on progress.
- Make travel arrangements for the MD and VIP guests.
- Accompany MD on business trip on the SEA region.
- Accompany MD to business functions, conferences, social events, and keep track of introductions.
- Attend confidential meetings and handle highly sensitive information.
- Liaise with suppliers and service providers, internal staff, customers & prospects, and the government departments.
- Proactive is researching information and preparing executives summaries.
- Assist in marketing & promoting HQ pack’s brand and corporate image.
- Prepare financial, operations, and business reports and presentations.
- Manage and track the MD’s expenses and report/file accordingly.
